What information we collect
Depending on how you interact with Healthy Balance Kinesiology, I may collect:

Under UK data-protection law, I must have a lawful reason for using your personal information. The lawful bases I rely on are:

Health information is special category data. I rely primarily on your explicit consent to collect and use this information for your treatments. Where necessary, health information may also be retained or used to establish, exercise or defend legal claims.
You may withdraw your consent at any time by contacting me. However, if you withdraw consent to the use of information needed to provide treatment, I may be unable to continue providing that service.
Who we share information with
I do not sell your personal information. Information is only shared where necessary with trusted service providers that support the operation of the practice, including:

Google, which provides the Health and Wellbeing Questionnaire and stores its responses

These providers receive only the information necessary to perform their services and process it under their own security and data-protection arrangements.
Information may also be disclosed where required by law, or where reasonably necessary to obtain professional, insurance or legal advice, manage a complaint, or protect the safety and legal rights of you or another person.
I will not share information with another practitioner or organisation for your ongoing care without your permission, unless disclosure is required or otherwise permitted by law.
How your information is stored and protected
Electronic information is stored using password-protected systems and devices. Two-step verification is used where available, and access to client information is restricted to me.
Google Form responses and the linked response spreadsheet are accessible only through my secured Google account. Appointment, communication and payment information may also be stored within the relevant service providers listed above.
Handwritten treatment notes and paper consent forms are stored securely in a locked cabinet.
I take reasonable technical and organisational measures to protect information against accidental loss, unauthorised access, alteration or disclosure. However, no electronic system or method of communication can be guaranteed to be completely secure.
How long we keep your information
We keep personal information only for as long as it is needed for the purposes described in this Privacy Notice and to meet any legal, professional or insurance requirements.
Adult client treatment records are retained for eight years after the final treatment.
Where a client is under 18, their records are retained until their 25th birthday (or their 26th if they were 17 when the treatment ended.
Financial and transaction records are retained for the period required for accounting and tax purposes. Enquiry information that does not lead to treatment will not be kept longer than necessary.
At the end of the relevant retention period, personal information will be securely deleted or destroyed, unless there is a lawful reason to retain it for longer.
Your data protection rights
Depending on the circumstances, you may have the right to:

These rights are not absolute. I may need to retain certain information to meet legal, professional or insurance requirements, or to establish, exercise or defend legal claims. If you ask me to delete or restrict access to information that is needed to provide treatment safely and appropriately, I may be unable to continue treating you. If I cannot fulfil all or part of your request, I will explain why.

If you are concerned about how your information has been handled, please contact me first so that I can try to resolve the matter. You also have the right to complain to the Information Commissioner’s Office at www.ico.org.uk.
International transfers
Some of the service providers I use, including Google, Wix, Calendly, Stripe, Microsoft, GoDaddy and WhatsApp, may process or store personal information outside the UK.
Where personal information is transferred internationally, I rely on the safeguards used by these providers to protect it in accordance with applicable data protection law. These may include transfers to countries recognised as providing adequate protection or the use of approved contractual safeguards.
Cookies and website information
The Healthy Balance Kinesiology website may use cookies and similar technologies to help it function, understand how it is being used and improve your experience.
Where required, you can choose which non-essential cookies you accept through the cookie banner on the website. You can also manage or delete cookies through your browser settings. Disabling some cookies may affect how the website works.
